Assistant Property Manager Position

As the Assistant Property Manager, you will be the main point of contact for the company, tenants, and vendors, and provide administrative support. You will handle the flow of people through the business delivering the highest quality of customer service and in a timely manner. Our portfolio consist of 14 projects, including one high-rise tower.

Property Management Assistant Duties:

  • Responsible for the day-to-day operations of the properties under the Property Managers supervision.

  • Provide weekly reports/ updates to the Property Manager for any property related items.

  • Assist Property Manager with Budget Preparation, CAM Estimates and CAM Reconciliations.

  • Assist tenant and coordinate vendor service calls and follow up with the highest level of service.

  • Close out open Tikkit and AppFolio maintenance related items as soon as possible.

  • Maintain Building Hours for HVAC, Common Area Lighting and Building Access with the Building Calendar for each property.

  • Coding all property invoices in the portfolio.

  • Update & Maintain Vendor Information and Lists in AppFolio (advise accounting accordingly).

  • Maintain Certificates of Insurance for vendors on AppFolio and monitor them monthly.

  • Maintains, tracks and assigns property keys and key fobs to tenants and vendors, manually and through the key access systems: Sonitrol and Sequr.

  • Maintain all lockbox keys for all properties.

  • Track and record any Capital Improvements taking place for each property and notify tenants accordingly.

  • Read EMON DEMON Meters and work with accounting to bill back tenants monthly.

  • Attend monthly property inspections with the Property Manager.

  • Maintain Vacant Unit HVAC - ensure they are turned off/on for move ins and move outs.

  • Ensure that Service Contracts are fully executed and canceled upon change of ownership, exhibits are attached and that the vendors COI is attached before starting any on-going or one-time services.

  • Perform Move-out inspections and/or reports for PM approval.

  • Update directory signage and/ or order tenant signage for new move ins and remove for move-outs.

  • Schedule and follow up on Preventive maintenance accordingly.

  • Bid out service contacts 2x per year to ensure the rates are inline.

  • Contribute to team effort by accomplishing administrative task as needed.

Requirements:

  • 2 years of commercial real estate experience.

  • Proficiency in Microsoft office skills: Outlook, Excel, Word, and Powerpoint

  • Knowledge and learning of all software used in the company.

  • Professional telephone, verbal and written communication skills.

  • Professionalism in both appearance and manner.

  • Organization, multitask, prioritize and ability to work under pressure.

  • Ability to be resourceful and proactive in dealing with issues that arise.

  • Roll up-sleeve attitude.

  • California DRE license in the first six months of employment is encouraged.
